What should a cleaning business scheduling checklist cover?
A cleaning business scheduling checklist should cover four moments: reading the request, checking the day, confirming with the client, and protecting the week. In practice that means job length by service, a buffer between jobs, drive time, written confirmation of date, address and access, and one weekly look at what's coming.
When you clean alone or with one helper, the schedule is the business. Requests come in by text, Instagram DM and voicemail, often while your hands are in gloves. The mistakes are predictable: saying yes to "next Friday" without asking which Friday, forgetting the 25-minute drive across town, or booking a 3-hour deep clean into a 2-hour gap.
A booking isn't a time. It's a time, a length, a buffer and a drive.

When the request comes in
"A clean" could be a 90-minute maintenance visit or a 4-hour move-out. Ask which one first, so the time you offer fits the job.
"Next Friday" means different days to different people. Reply with the full date, like "Friday, November 14", and let the client correct you.
Drive time depends on where the job is, and a building with no parking can add 15 minutes. Collect it at booking, not on the morning.
Before you say yes
Time your real jobs for two weeks and use the honest number. Guessing short is how one late job pushes the whole day back.
Loading supplies, a client who wants a walk-through, a quick bathroom stop. Ten to fifteen minutes keeps one small delay from becoming three.
Drive time is unpaid time unless your prices cover it. Use the planner below to see how much of your day it takes.
If some bookings live in texts and some in a notebook, you will double book. Pick one calendar as the source of truth and put every job there.
When you confirm
One short message both of you can scroll back to settles most "I thought you said Thursday" moments.
Key, code, lockbox or someone home. A locked door at 9 a.m. costs you the slot and the drive.
Say it plainly when you confirm the first booking. You won't need to argue about it later.
Every week
Five minutes catches overlapping jobs, missing addresses and days that are quietly over-full.
The IRS says you must back up car expenses with adequate records (Topic 510, reviewed October 2026). Writing miles down weekly is much easier than rebuilding them in April.
How many cleaning jobs fit in one day?
Most solo cleaners overestimate by one job a day because buffers and drives disappear in their heads. Put in your own numbers.

Mileage value$12.16
The mileage value uses the IRS business standard mileage rate of 76 cents a mile for July 1 to December 31, 2026 (it was 72.5 cents for the first half of the year), per the IRS standard mileage rates page, reviewed July 2026. It counts drives between jobs only, not your trip from home, and isn't tax advice.
With the starting numbers, a 9-hour day fits three 2-hour cleans, not four. Remove the buffer and drives, and four would fit on paper. That gap is the double booking waiting to happen.
Where BookingSolved fits
We built BookingSolved for checks 1, 2, 5, 6 and 7. You paste a client's text, choose a screenshot or use the Share Sheet. It finds the service, date, time and duration on your iPhone, and flags anything unclear, like "next Friday", instead of guessing. It checks your Apple Calendar and prepares the booking, and nothing changes in your Calendar until you approve it.
A client's text becomes a proposed booking."When are you free?" gets real open times.
The design decision: no booking portal and no connected inbox. Your clients keep texting you, and BookingSolved never reads conversations in the background or contacts anyone. Each service has its own duration and prep or travel buffer, and open times are offered only inside your business hours.
Honest limits. It doesn't plan routes or know real traffic; the travel buffer is a number you set per service. No prices are stored, so it won't quote or invoice. Your first 3 completed actions are free; BookingSolved Pro, a monthly or yearly subscription, is needed for unlimited bookings, reschedules and cancellations. Undo is always free.
Pick something else if you want clients to book themselves from a public link, or you need route planning for a crew. A booking-page service or field-service software fits that better.
Cleaning schedule questions
How much buffer should I leave between cleaning jobs?
Ten to fifteen minutes after each job is a common starting point for a solo cleaner, plus the real drive time to the next address. Time two weeks of jobs and adjust to what actually happens.
How do I stop double booking clients?
Keep every job in one calendar, give each service a fixed length and buffer, and check that calendar before you reply. Most double bookings come from answering a text before looking at the day.
Should drive time be paid for in my prices?
If you don't price it in, you're working those minutes for free. Many solo cleaners set a service area or a trip charge for far addresses. The planner above shows how much of your day it takes.
One Tuesday, rebuilt
A two-person cleaning team books four 2-hour jobs from 8 to 5 because the math says 8 hours of work fits in 9. By the start of the third house they are over an hour behind, and the last client gets a late-afternoon apology text.
The next Tuesday they add a 15-minute buffer and the 25-minute drives, see that three jobs fit, and move the fourth to Wednesday morning. Same income for the week, one less apology. This is an illustration, but the planner math above is the same.
