What should a personal trainer cancellation policy say?

A personal trainer cancellation policy should state the notice window (usually 24 hours), what a late cancel or no-show costs (often the full session, or one session deducted from a pack), how late a client can be before the session is shortened, and when packs expire. Clients should agree to it in writing before the first session.

Most trainers already have "a policy". The trouble is that it's vague, unwritten, or enforced on some clients and not others. The Bureau of Labor Statistics notes that many fitness trainers work variable or part-time schedules that include nights, weekends and holidays, and median pay was $22.67 an hour in May 2025 (Occupational Outlook Handbook). A 6 a.m. slot held for someone who cancels at 5:40 is an hour you can't sell.

The short version: a policy works when it's specific, written and the same for everyone.

7 mistakes, 7 fixes

Tick each fix once it's in your written policy. Your ticks stay in this browser only.

  1. 1

    Mistake: "Give me some notice"

    Name the window in hours

"24 hours before the session start time" leaves no room for "I thought the morning of was fine". Use 48 hours only if your sessions are hard to refill.

  2. 2

Mistake: telling it once, out loud

Put it in writing before session one

Send it in the first booking text and in your intake form. A screenshot-able sentence settles most disputes before they start.

  3. 3

Mistake: one rule for no-shows and late cancels

    Separate the two

A late cancel still lets you sometimes refill or rest; a no-show doesn't. Many trainers charge the full session for both, but some charge half for a late cancel.

  4. 4

Mistake: running over to make up for a late client

    Set a late rule

"Sessions end on time." Running over pushes your next client and teaches lateness. Say how long you'll wait before it counts as a no-show, often 15 minutes.

  5. 5

    Mistake: packs that never expire

    Give packs an end date

A 10-pack with no expiry turns into a balance you owe for years. A clear window, like 90 days for 10 sessions, keeps clients training regularly.

  6. 6

    Mistake: waiving it for favorites

    Decide your exceptions in advance

Illness and emergencies happen. Allow one free late cancel per pack or per quarter, then apply the rule to everyone the same way.

  7. 7

Mistake: no easy way to reschedule

    Make moving easier than cancelling

Offer two open times the moment a client asks to move. A rebooked session is worth more than any fee.

Where BookingSolved fits

We make BookingSolved for fixes 2 and 7. When a client texts "Can we move tomorrow an hour later?", you paste or share the message and BookingSolved finds the existing appointment in your Apple Calendar and shows a before-and-after preview. It moves only when you approve. When a client asks when you're free, it suggests open times inside your business hours, around existing sessions, using each service's duration and buffer.

BookingSolved answering 'When are you free Thursday?' with 9 AM, 10:30 AM and 12 PM and a reply ready to copy
"When are you free?" gets three real open times.

How it works in 3 steps

Share the text

Paste a client's message, choose a screenshot or use the Share Sheet. Only what you choose is read, on your iPhone.

Review and approve

Service, date, time and duration are found; anything unclear, like "next Friday", is flagged instead of guessed.

Send your reply

An editable reply is ready in a Friendly, Professional or Concise tone. Add your policy line and send it yourself.

Honest limits. BookingSolved doesn't track session packs, charge late fees, take payments or send reminders, and it never contacts clients. Your first 3 completed actions are free; BookingSolved Pro is a monthly or yearly subscription. If you want clients to book and pay on their own, a gym booking platform is the better fit.

Trainer cancellation questions

Should a personal trainer charge for late cancellations?

Most independent trainers do, because a cancelled hour is rarely refilled. Charging the full session or deducting one from a pack is common. What matters most is that the client agreed in writing first.

What if a client is sick?

Build one exception into the policy, such as one free late cancel per pack, and apply it the same way to everyone. That covers real illness without turning every cancel into a negotiation.

Are prepaid session packs income when paid or when used?

The IRS says that, generally, you report an advance payment for services as income in the year you receive it (Publication 538). Accrual-method businesses can sometimes defer it. Ask a tax professional about your setup.

One trainer's Monday

Picture a trainer with three early clients who all text between 5:30 and 6:00 a.m. on Mondays. Her policy said "please give notice". After a month of losing two of three Monday sessions, she rewrote it: 24 hours, full session charged, one free pass per 10-pack, sessions end on time. She sent it to every client the same day. This is an illustration, not a real client, but the cost math in the panel above is the same.
